How to Facilitate Virtual Meetings COVID-19

We are excited to bring this bilingual webinar to you. Due to the Coronavirus, most of us ended up working remotely overnight with NO preparation.  But studies show that remote workers are happier and more productive than their office working counterparts and the benefits for companies moving to distributed workforces are great too!

Some companies have decided to keep their employees working remotely post #Covid19. As teams and organizations transition to working online, the need for well designed and effectively facilitated meetings and workshops rises. Unstructured or poorly run virtual meetings can lead to wasted time and frustrated teams.

In this webinar “How to facilitate virtual meetings and video conferencing effectively” we’ll explain what remote facilitation is, why it’s useful, and guide you through the process of designing and running great online workshops and remote meetings.

What will you learn?

  1. Understand why developing virtual facilitation skills will help you stand out as a leader

  2. Recognize pitfalls to avoid when facilitating virtually

  3. Identify elements to consider in preparing for facilitating in a virtual platform

  4. Learn tips and best practices to engage meeting participants virtually

How we can do this? 10 steps to create engaging virtual meetings

1-Co-Create Your Team’s Rules of Engagement or Virtual Meeting Norms

Rules of meeting engagement or “meeting norms” are stated standards that refer to processes, preparation, and communication practices that can apply to any meeting. Virtual meetings may have some specific norms, for example:

  1. We will use the technology that most accessible to everyone on our team.

  2. Test your technology before the meeting and resolve any technical issues

  3. Use phone line with audio clarity and stability

  4. Do not multi-task (do other work) during the meeting

  5. Follow an organized line up to ensure each person has a chance to respond.

  6. Find a quiet space to participate

  7. Use the mute button at your site to prevent the transmission of background noise.

  8. Speak up to get attention if you have something to say.

  9. Turn on your video whenever possible and be camera-ready

  10. Meeting norms should be shared with your agenda at the top of your meeting, used to reinforce different behaviors, help you improve your virtual meeting process.
